Subtitling Manager

At VSI, we are looking for a flexible professional to join us in the new role of Subtitling Manager. Reporting to the Head of Operations, you will be tasked with managing the Subtitling Department, which will be responsible for ensuring the smooth and efficient delivery of high-quality subtitling services to a growing number of clients.

As the experts in subtitling specs, the Subtitling Department plays a key role in ensuring that internal teams have the necessary information to share with external suppliers before subtitling work commences. The department also ensures that respective instructions have been shared with the QC team in preparation for the QC stage.

You will need to show excellent reporting skills, be technically minded, have a deep understanding of subtitling quality specs, be solution-focused and have strong communication skills. You will speak English to mother-tongue standard, have excellent time management and organisational skills, with the ability to prioritise tasks, manage the demands of a fast-paced environment, and have demonstrable experience in working to tight deadlines.

About the role: 

  • Leading and managing a three-person team, including engaging in regularly scheduled one‑on‑one meetings; managing team member performance; identifying and enabling learning and training opportunities, and career progression; developing succession plans; and overseeing the recruitment and effective on-boarding of new team members
  • Monitoring team utilisation closely, identifying gaps in resources and proposing business plans to maximise efficiency in the department and support the business’ needs
  • Managing and overseeing the daily operations which include:
  • Creation of English subtitles, CC, SDH and templates
  • Technical QC and fixing of subtitle and CC files
  • File prepping and conversions/exports
  • Management of client QC services
  • Subtitling-related tool testing
  • Updating of subtitling software settings templates
  • Evaluation of tests for potential freelance subtitlers
  • Providing training on subtitling software and guidelines, as required
  • Providing linguistic assistance to other departments
  • Providing advice on subtitling specs and formats
  • Ensuring VSI’s subtitling guidelines, clients’ guidelines and training material are kept up to date
  • Being the main point of contact for the technical team on the development and implementation of our online subtitling tool and working closely with the Head of Operations to roll out the tool to suppliers
  • Reviewing client subtitling specs, ensuring correct questions are raised or suggestions put forward to the client, recreating/adapting the spec where necessary so it’s relevant for suppliers, and preparing the QC team with the relevant checks in preparation for the QC stage
  • Liaising with our off-site QC team and keeping them informed of new QC requirements, providing training as necessary, and managing the permissions and correct usage of the QC booking schedule
  • Overseeing the usage and development of the QC portal, ensuring that reports are being created in a timely and accurate manner and identifying any changes that need to be made to the interface
  • Monitoring supplier performance and providing support so they can improve the quality of their subtitle files
  • Keeping the Vendor Management team informed of supplier performance so supplier records can be accurately maintained
  • Analysing client-provided metric reports and attending any client meetings as necessary
  • Providing the Head of Operations with regular reports on production issues, rejections and challenges, client services feedback, and issues and escalations, proposing any solutions
  • Working with the Sales Department and providing support on new sales enquiries, quotes and RFPs as needed
  • Owning the responsibility for overseeing and approving invoices and ensuring all monthly invoicing deadlines are met (client and supplier)
  • Managing client and vendor relationships professionally and effectively, and ensuring prompt and timely response to all queries

About you:

  • Five years’ proven subtitling and translation experience, working with various subtitling specs and software, ideally EZTitles
  • Two to three years’ previous experience managing subtitling QC workflows
  • Thorough working knowledge of subtitling file formats and any limitations/compatibility issues
  • English mother tongue/Command of English to mother-tongue standard
  • Senior experience within the media and localisation industry
  • Excellent strategic and organisational skills
  • A solution-focused attitude and high motivation
  • Strong management and leadership skills, with excellent verbal and written communication skills
  • Effective delegation skills
  • The ability to remain calm whilst under pressure
  • Experience in managing and developing lasting relationships with clients and suppliers
  • Ability to develop and improve workflows and implement new ways of working
  • Advanced Microsoft Office skills, including Excel and Microsoft Word
  • Strong reporting skills
  • Excellent problem-solving skills and numeracy
  • Attention to detail and accuracy
