About the role: 

Team/Resource Management

• Supporting, mentoring and owning the performance of direct reports, making sure adequate training is provided for them to fulfil their roles and objectives and departmental targets and goals are met
• Monitoring team utilisation closely, identifying gaps in resources and assisting the recruitment and on-boarding of new team members
• Ensuring projects are accurately completed across the team in the project management tools according to company guidelines, including timesheets
• Supporting the Head of Department (HoD) and other management teams with implementing new processes, tools and initiatives, and managing the impact of those changes on the teams

Client/Subject Matter Expert

• Managing and overseeing client services from the operational side for key accounts and projects to ensure client needs are met within the set timeframe and budget
• Monitoring KPIs such as redelivery rates, financial and legal SLAs and on-time delivery metrics and putting necessary steps in place to ensure we meet target performance metrics
• Providing operational support to the Sales and Account Management teams for new enquiries
• Preparing cost of sales documents and signing off those prepared by other members of the department
• Managing client and vendor relationships professionally and effectively, ensuring prompt and timely responses to all queries and feeding back any quality issues or improvement areas for vendors to Vendor Management and the HoD, including any relevant training needs
• Proactively dealing with client complaints and assisting other members of the department

Operations/Finance

• Owning and managing project budgets and putting necessary steps in place to ensure profitability
• Providing the HoD with monthly reports on production issues, rejections and challenges, client services feedback, issues and escalations and proposing any recommendations on assigned accounts
• Identifying improvement opportunities for projects and processes and working with other Team Leads in the department to identify and develop synergies
• Owning the responsibility for overseeing and approving invoices for direct reports and ensuring all monthly invoicing deadlines are met for clients and suppliers
• Chairing both internal and client production meetings on strategic accounts
• Providing cover for the HoD as required

Project Management

• Managing and running own projects as and when required, as well as acting as a point of escalation for Project Managers

About you

• Effective verbal and written communication with clients, partners and internal team members
• Proven client-facing experience
• Proven experience in supporting and mentoring direct reports
• At least 2 years’ experience in the localisation and/or media industries and 3 to 5 years’ experience in a project management role
• Education to degree level or equivalent in a media- or language-related area
• Good Microsoft Office skills
• Knowledge of project management methods and techniques and proven practical application in previous work
• High motivation with proven problem solving, organisational and change management skills
• Flexibility to work independently or as part of a larger team in a changing environment

Desired Skills and Experience

• An understanding of and experience of working with project management tools
• Knowledge of a foreign language
