Office Coordinator

As a key member of the wider company, the Office Coordinator will be responsible for maintaining a first-class, professional, front-of-house service to clients, visitors and staff, as well as managing the smooth and efficient running of reception and administrative processes.

The working hours for this role are 08:00 – 14:00, (5.5 hours/day plus 30minutes unpaid lunchbreak).

About the role: 

  • Building checks and H&S responsibilities
  • Liaising with suppliers where necessary
  • Managing the reception area, including welcoming customers and guests, adhering to all security procedures
  • Managing company correspondence, including phone calls, emails, letters and packages
  • Basic bookkeeping, raising PO’s and Credit Card reconciliations
  • Organising meetings, scheduling appointments, arranging catering where necessary
  • Data entry, including updating records and databases, mainly around H&S and Suppliers
  • Managing inventory & purchasing of office supplies, including stationery and groceries
  • Booking domestic and international travel, creating travel itineraries for business executives, employees and company events
  • Any other duties as reasonably required by the team

About you:

  • Receptionist/ admin experience in an office environment is essential.
  • Excellent organisation and communication skills.
  • Ability to multitask and prioritise work.
  • Ability to work under pressure and meet deadlines.
  • Strong customer service skills.
  • Previous experience in booking international travel
  • Ability to work both alone and as part of a team.
  • High standard of written and spoken English.
  • Literate in a variety of MS packages, including Excel, Word and Outlook.
